A Simple System for Tracking Receipts and Warranties
Use a simple item-by-item routine to keep receipts, warranty details, and purchase information alongside your home inventory.

The simplest way to track receipts and warranties is to connect each one to the item it belongs to. Instead of keeping a separate pile to sort later, add the purchase details and any supporting document while the item is already open in your home inventory.
You do not need a perfect historical record to get started. Begin with the items that would be hardest to identify or replace, then use the same short routine for future purchases.
Start with the items that need the most context
Pick a small group first: appliances, electronics, tools, furniture, or anything with a model or serial number. For each item, collect the receipt or warranty information you already have. If a document is missing, save the details you can confirm instead of leaving the item out.
In MovingBox, you can add an item with a photo or by using manual entry. AI-filled details are a starting point, so review and correct important names, values, and identifiers before saving.
Add the receipt details to the item record
Open the item, choose Edit, and look for the purchase information section. You can record details such as the purchase date and whether the item is insured, then save your changes. Keep the wording simple and consistent so you can recognize the record later.
For a warranty, include the information that helps you find the right paperwork again, such as:
- The retailer or manufacturer name
- The purchase date
- A warranty end date, if you know it
- A short note about where the original document is kept
MovingBox also supports document attachments for receipts, warranties, and other important files. Attach the document to the matching item when that is useful, rather than relying on a general folder with no item connection.
Capture serial numbers while the item is in front of you
For electronics and other identifiable items, add the serial number from the item’s Identification section. You can enter it manually or use the camera scan option.
If you use a photo to help document an item, make the serial-number label readable. A single-item photo gives the AI the most context for one item; still review the result and fix any details that are wrong. Important identifiers are worth checking yourself.
Use one repeatable note format
Choose a compact note style and use it for every item. For example:
Receipt: retailer, month/year. Warranty: ends month/year. Paper copy: filing cabinet.
The exact format matters less than making it easy to scan. If you later need a document, you should be able to open the item and understand what is available without rebuilding the story from memory.
Keep the inventory current as you buy and replace things
Add a new item when you make a purchase, and update the old record when you replace or dispose of something. A short check-in after a major purchase is usually easier than a large cleanup session.
You can browse existing inventory and add items manually offline. On supported devices running iOS 27, the On Device Apple Intelligence provider can also analyze single-item photos offline. Private Cloud Compute and Gemini need a connection; if Private Cloud Compute loses connectivity, MovingBox retries on device when available. Multi-item and video analysis use Gemini, require Pro, and need a connection.
Be careful with values and high-value items
MovingBox can provide an AI value estimate, but estimates are approximate and may not match the value of your specific item. For high-value items, consider a professional valuation when you need one. Your receipt, serial number, photos, and notes can make the item record clearer, but they do not guarantee a warranty outcome, appraisal, or insurance reimbursement.
A short routine for your next purchase
- Add the item with a clear photo or manual entry.
- Review and correct the item details.
- Record the purchase date and other confirmed purchase information.
- Attach the receipt or warranty document if you have it.
- Add the serial number and a brief note about where any original paperwork lives.
That small habit keeps the useful context with the item itself—right where you will look for it later.
Frequently Asked Questions
Can I add an item if I do not have the receipt?
Yes. Add the item with the details you can confirm, and update it later if you find the receipt or warranty document.
Can I keep documenting items when I am offline?
Yes. Browsing and manual entry work offline, and the On Device Apple Intelligence provider supports offline single-item analysis on supported iOS 27 devices. Cloud analysis needs a connection, so use an available offline option to capture details while they are handy.
Should I rely on an AI value estimate for a valuable item?
Treat it as an approximate starting point. For insurance or appraisal purposes, consider a professional valuation for high-value items.
