How to Record Electronics and Serial Numbers Clearly
A practical way to document electronics, model numbers, and serial numbers so you can find the details later.

A clear electronics record starts with a well-lit photo and readable model and serial numbers. Review and correct every AI-suggested detail before saving the item. Enter the serial number yourself if it is missing or unclear. The goal is a record you can read and search later—not a perfect catalog on the first try.
Free includes one photo per item. Choose a useful overall view or a close-up of the identifying label, and enter any missing details manually. With Pro, you can save multiple views of the item and its label together.
Start with the label, not just the product
For a TV, laptop, appliance, camera, game console, or power tool, the useful identifiers are often printed on the back, underside, battery compartment, or original packaging. Before you add the item, look for:
- The manufacturer and product name
- The model number
- The serial number
- Any capacity, size, or configuration that helps distinguish similar items
Choose a photo that captures the detail you most want to keep. With Pro, add a separate close-up of the label when it is visible. A clean, well-lit label photo gives you something to check against later even if you type the details manually.
Add the electronic item in MovingBox
MovingBox can add an item from a single photo or through manual entry. A single-item photo gives the AI the most context for an item, especially when a brand or model number is visible. The suggested details are a starting point: review and correct them before you save.
If the item is difficult to photograph, unusually configured, or not recognized correctly, choose Add Manually instead. You can add a photo to a manual record and fill in the information you know.
For a hard-to-read label, take your time rather than relying on a guess. MovingBox supports up to five photos per item with a Pro subscription; an extra angle can help you keep the item and its label together in the same record.
Enter the serial number as a separate detail
Once the item is saved, open it and tap Edit. In the Identification section, choose Add Serial Number. You can type the number or use Scan with the camera, then save the change.
Serial numbers are easy to transpose, so use this quick check before you leave the screen:
- Compare the first and last few characters to the label photo.
- Watch for look-alikes such as O and 0, I and 1, or S and 5.
- Add the model number to the item name, description, or notes if it will help you tell similar devices apart.
- Assign the item to its current Location so you can find the device as well as its record.
You can update the name, description, value, purchase information, notes, and location later. That makes it reasonable to save a solid first record now and return when you find a receipt or a clearer photo.
Keep the record useful over time
When you move an electronic item, open the record and update its Location field to the right Space or Box. If you sell it, mark it Sold to move it to the Archive while retaining its history. For items with an AI-provided value estimate, treat the number as approximate rather than an appraisal; for a high-value item, consider a professional valuation when you need one.
If you are working without internet, you can still browse your inventory and add items manually. On a supported device running iOS 27, On Device under Settings → AI can also analyze single-item photos offline. Cloud analysis, multi-item photo batches, and video analysis need a connection. If Private Cloud Compute loses its connection during a single-item request, MovingBox retries on device when available.
A simple electronics inventory routine
You do not need to record every device in one sitting. Start with the items that would be hardest to identify later:
- Choose one shelf, cabinet, or room.
- Add each electronic item with a clear overall photo.
- Capture or enter its model and serial number.
- Review the saved details while the label is still in front of you.
- Move to the next small group when the first one is complete.
This approach leaves you with records that are clear enough to use—and easy to improve when you have more information.
Frequently Asked Questions
Can MovingBox read a serial number from a photo?
MovingBox can suggest item details from a photo, but you should review and correct important identifiers. You can enter a serial number manually or use the in-app scan option from the item’s Identification section.
What if the label is damaged or missing?
Create the item record with the details you can confirm, add a photo of the device, and use manual entry for the rest. You can return to edit the record if you locate the original packaging, receipt, or a clearer label later.
Do I need Pro to document electronics?
No. Free supports manual entry and single-item photo analysis with one photo per item. Pro adds up to five photos per item, which can be helpful when you want to include multiple views of a device and its label. Multi-item photo batches and video analysis also require Pro.
