How to Build a Shared Home Inventory Without Duplicating Work
A simple way for trusted co-owners to divide a MovingBox inventory and keep one shared record.

The simplest shared home inventory is one record that everyone can edit, with a clear division of rooms or categories. In MovingBox, Household Collaboration lets a trusted partner, family member, or co-owner work in the same inventory instead of each person building a separate copy.
Household Collaboration is a MovingBox Pro feature. It uses iCloud, so both people need an iCloud account and an internet connection to accept the invitation and sync changes. Every collaborator has full edit access across all Homes—there is no view-only role—so only invite people you trust with the whole inventory.
Start with one shared structure
Before anyone adds items, open Locations and agree on a small set of Spaces. Rooms are a good starting point: Kitchen, Living Room, Primary Bedroom, Garage, or Storage Unit. Choose the right Space in each item’s Location field so everyone knows where it is kept.
Then decide how you will use Labels. Each item can have one Label, so choose the one purpose that matters most to your household. You might use Labels for categories such as Electronics and Furniture, or for ownership such as Shared. Avoid using several overlapping label systems at once; one clear convention is easier for everyone to follow.
Divide the work without making duplicate lists
Give each person a distinct starting area. One person might document the kitchen and living room while the other handles bedrooms and the garage. If you share a room, split it into visible zones—for example, one person takes the cabinets and the other takes the larger furniture.
As you work, add new items to the shared Home rather than creating a second inventory for the same belongings. For each item, choose its Location before saving it and use the household’s agreed Label when one applies. That gives you one place to browse, search, and update instead of two lists that need to be reconciled later.
Invite your collaborator in MovingBox
The person who owns the Home can send the invitation:
- Open Settings, then tap Manage Homes.
- Select the Home you want to share.
- Choose Sharing.
- Tap Add Person, enter the other person’s iCloud email address or Apple ID, and send the invitation.
After the recipient accepts, the shared Home appears in their sidebar. They can add, edit, and delete items; manage Locations; update insurance policy details; and access all Homes you have added. Changes sync automatically through iCloud, so there is no separate manual sync step.
Use a short handoff routine
You do not need to catalog the whole house together in one session. A small handoff keeps the work coordinated:
- Claim a room or zone before you start.
- Add items directly to the shared Home.
- Review the item name, Location, Label, and important details before saving.
- Leave the next unstarted room clear for the other person.
For a shelf, cabinet, or surface with several ordinary items, MovingBox Pro can analyze a multi-item photo batch. Review every detected item, correct anything that is off, and remove false detections before saving. For important or hard-to-identify belongings, a single-item photo gives the AI more context; you can also enter an item manually whenever that is the clearer option.
Keep trust and access in mind
Sharing is meant for trusted co-owners and household members, not for someone who only needs to look at the inventory. A collaborator can edit or delete items and manage Locations, and they can access every Home in the shared inventory. If that access is no longer appropriate, open the Home’s Sharing settings and remove the person. They will no longer be able to view or edit the inventory.
Start with one room each. Agree on your Space names and Label convention, send the invitation, and compare a few saved items before expanding to the rest of the home.
Frequently Asked Questions
Can a collaborator have view-only access?
No. MovingBox currently gives invited collaborators full edit access across all Homes. Invite only someone you trust with that level of access.
Can we use the shared inventory when one of us is offline?
You can browse existing inventory and add items manually offline. On a supported device running iOS 27, On Device under Settings → AI can also analyze single-item photos offline. Cloud analysis, multi-item photo batches, and video analysis need a connection. Accepting invitations and syncing changes through iCloud also require internet, so your collaborator will see offline changes after syncing resumes.
What if the AI gets an item wrong?
Treat AI-filled details as a draft. Review and correct the item before saving, or use manual entry when that better matches the item.
